  💡 Why you should connect your ATS

Integrating with your Applicant Tracking System is the best way to use Starred, as it allows you to automatically trigger surveys to your candidates when they apply for a role or once they leave the recruitment process (either for being rejected, withdrawing or being hired).

Starred Workflows allow you to streamline this process, so you don't have to think about it and can just enjoy the data.

How to Integrate Starred

Only Admins can access the Integrations section.

To connect Starred with your ATS:

1. Go to your Settings

2. Click on Integrations

3. Find your ATS in the list

  • Click on Connect

What Is a Workflow?

workflow is an automation setup that defines whenhow, and to whom feedback surveys are sent.

Each workflow is made up of conditions, filters, and actions. The exact setup may vary depending on your ATS or application.

  • Conditions – What triggers the workflow (e.g., a candidate gets rejected/hired, etc).
  • Filters – Rules that refine when a survey should or shouldn’t be sent (e.g., only for internal/external candidates, excluding candidates that are rejected for specific reasons such as duplicate applications, etc.).
  • Actions – What happens when conditions are met (e.g., send a candidate experience survey).

Once a workflow is active, Starred pulls data from your ATS and sends the correct survey automatically - no manual steps required.

Setting Up a Workflow

Our Customer Experience Team can help you set up your workflows and make future changes to them when needed.

To create workflows, you'll first need to integrate Starred with your ATS.

Once that is done:

1. Go to your Settings

2. Click on Integrations

3. Find your ATS in the list

  • Click on Manage

4. Create a new workflow

  • Create a new workflow from scratch
  • Use one of our available templates and edit them to suit your needs.

5. Whether you're using a template or doing it manually,  you can:

  • Add filters to target specific candidate groups.
  • Choose whether to send the survey immediately or schedule it for later.
  • Decide to exclude certain days of the week
  • Customize timing and behavior based on your integration.

📘 Workflow options may vary depending on the ATS or application you use, but the core logic is always the same – automate when and how surveys are sent.

Workflow best practices

Rejection Stages

Rejection stages let you tailor surveys based on when a candidate is exited from your process. For example, if a candidate is rejected after a phone screen, they’ll only be asked about the application and phone screen steps. If they’re rejected after interviews, feedback will also cover their interview experience.

💡 Make sure that the stage names you add to the workflows are spelled exactly like in your ATS.

Rejected candidates tell the truth

Rejected candidates have no reason to sugar-coat their feedback. They'll tell you exactly what went wrong - and that's valuable learning.

When candidates think they might still get hired, they give glowing reviews across the board. But once they know they're rejected, you get honest, actionable feedback.

Don't ask for feedback at every stage.
  • Candidates hoping to advance give biased, overly positive feedback
  • Multiple surveys create survey fatigue
  • The data becomes unreliable and unusable

Save your questions for when they matter most - when the candidate's journey with you ends.

When to send the survey

In Starred, you can:

  • delay your survey from the time it is triggered by choosing a nr. of days of delay. Be sure to consider when rejection emails are sent to candidates - if you schedule those emails, align the survey delay in Starred accordingly.
  • choose to send surveys only during the week, or also in the weekends. 

Custom fields

Add all necessary custom fields during account setup and workflow testing. While you can add fields later, they won't apply retroactively, so it's best to include all relevant fields before enabling your workflows.
