How to Translate Invitation Emails
Learn how you can send surveys in multiple languages
📘 Sending invitations in your respondents’ preferred language improves engagement, response rates, and overall survey experience.
When contacts receive an email and survey in a language they understand, they are more likely to respond and provide meaningful feedback.
How language selection works
The language of the invitation email determines:

The language in which the survey opens when the respondent clicks the link.

The overall respondent experience.
The email language and survey language are directly connected.
Follow this guide to create invitations in different languages.
Step 1: Translate Your Survey
Before creating a translated invitation email:

Make sure your survey has been translated.

Each invitation language must match an existing survey translation.

If no survey translation exists, you will only see the default language available in the invitation settings.
Once your survey translations are ready, you can create matching email templates.
Step 2: Add a New Invitation Language

Open your invitation email settings.

Click the Template dropdown menu.

Select Add language.
A pop-up window will display the available languages.
⚠️ Important:

The list only includes languages your survey has been translated into.

If you do not see a language option, you need to translate the survey first.
Step 3: Create the Translated Email
After selecting a language:

Add your email subject line.

Customize the invitation text.
-
Save your template by clicking the save (floppy disk) icon next to the template name.
You can repeat this process for each language needed.
Sending invitations in the correct language
If you invite manually
When sending manual invitations:

Select the invitation template that matches your recipient’s language.

Send one batch per language.
Example:

English contacts → English template
-
German contacts → German template
Each batch will receive the same template, so contacts must be grouped by language.

If You use automation (ATS Integration)
When building workflows:

Select the appropriate invitation template.
-
The selected template determines the language of the invitation email.
📙 Important Notes

You cannot create an invitation in a language that your survey is not translated into.

Manual invitations must be sent in separate batches per language.

Automated workflows require selecting the correct template during setup.
